Camera-Ready Submission Guidelines

Please follow these guidelines strictly to ensure your paper is included in the conference proceedings. These instructions apply to all tracks unless specified otherwise in the Track-Specific Requirements section.

1 General Requirements

  • Address Feedback: Incorporate all modifications requested by reviewers and your shepherd (if applicable).
  • Registration: Each camera-ready paper must be accompanied by at least one full registration.
  • ACM eRights Form: Complete the ACM rights management form via the "Edit" tab of your paper in HotCRP.
  • Important: If you intend to change the title of your paper, please consult with the track/workshop chairs first, then update it in HotCRP first before submitting the eRights form. The titles must match exactly.
  • Bibliographic Strip: Once you complete the eRights form, ACM will send you the correct rights management statement and bibliographic strip. This must be placed at the bottom of the first page, left column.

2 Formatting Checklist

To maintain a professional and consistent look across the proceedings, please adhere to the following:

  • Template: Use the official two-column ACM Template. Do not adjust margins or layout settings.
  • Fonts: The template uses the Libertine font set. You must install this on your system before compiling.
  • No Substitutions: Font styles and sizes (typically 9pt or 10pt) must remain as defined by the template.
  • Embedding: All fonts must be embedded in the PDF. Use Type 1 or TrueType (scalable) fonts; do not use Type 3 (bit-mapped) fonts.
  • Figures: Ensure figures do not exceed margins. Check that fonts used within figures are also embedded and scalable.
  • Metadata: Include Keywords, CCS Concepts, and the ACM Reference Format on the first page.
  • No Page Numbers: Do not include page numbers in your final PDF.

Pro Tip

IMPORTANT

How to check for embedded fonts

1.

Open your PDF in Adobe Acrobat

2.

Navigate to File → Properties → Fonts

3.

Verify every font has (Embedded) or (Embedded Subset) next to its name

This ensures your PDF will display correctly across all systems

3 Submission Process (via HotCRP)

Finalize your submission by uploading the following mandatory items:

  • Final PDF: The camera-ready version of your paper.
  • Source Files: A .zip or .tar file containing all source files (LaTeX, BibTeX, images, or Word doc).
  • Metadata: Copy-paste your ACM keywords and CCS concepts into the HotCRP fields.
  • References: Ensure a clean list of references is provided.
  • Reproducibility (Optional): XML file for the reproducibility badge (required for Open-Source/Dataset tracks).
